Summary Assists in coordinating front office activities of hotel such as check-in, check-outs, reservations and resolving problems that arise from guest complaints, reservations, room assignment activities, and unusual requests and activities and inquiries by performing the following duties personally or through subordinate supervisors. Responsibilities include training employees, addressing complaints, and resolving problems.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.Greets, registers and assigns rooms to guests following established check-in/check-out procedures.Complete AM and/or PM check list to include bucket check, credit report, discrepancy room report, monitoring guest balances, high balances, due outs, blocking, pre-registration, shift closing, and turn down.Issues room keys follows room key procedures.Sorts and logs incoming mail and packages.Transmits and receives telephone messages, serve as a hotel operator relief.Answers inquiries pertaining to hotel services; registration of guests; and shopping dining, entertainment, and travel directions.Keeps records of room availability and guests' accounts.Computes bill, collects payment, and makes change for guests.Makes and confirms reservations.Posts charges such as room, food, liquor, or telephone, to ledger.Deposits guests' valuables in hotel safe or safe deposit box.Knowledge of various room types and rates.Utilize Front Office and Reservations computer systems.Follow cash handling and bank procedures.Informed and follows property emergency procedures.Follows sell out procedures and relocates guests as necessary.Ensures computer systems and all related interfaces are functioning properly.Greets VIP guests and follows VIP procedures.Arranges for special services.Works with sales and convention services departments to ensure group needs are met.Works with accounting and night audit to ensure proper procedures have been covered.Confers and cooperates with other department heads to ensure proper service levels.Assists in ordering department supplies and equipment and controls and other expenses.Assists in managing Guest Service Scores.Enrolls guests in franchise specific rewards programs.Meet all requirements set forth by specific hotel franchise when it comes to services, quality and job details.Complete normal every day guest service representative tasks and duties.Supervisory Responsibilities: NoneQualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
