Job Type Full-time: minimum 40 hours per week, with salary prorated depending on full vs. part time work. Saturdays: Some Saturday tenant showings required, and on-call time every other Saturday.Job Tasks Include: Contact leads If leads answer - Ask pre-qualifying questions, schedule showing, and offer application. If leads do not answer - Leave voicemail with address, number of bedrooms/baths, rental rate and when it's available for move in. Then email the lead as well to make sure we are utilizing each lead the most we can and so it's easy for them to reply to us and schedule a showing. Applications - Order Federal background checks, review credit, calculate average monthly income, call and notate landlord references. If approved - send lease for signatures, collect move in funds, have tenant set up utilities, prep for move in. If declined - create adverse action letter and input their information, make copy and save PDF for auditors, and mail main copy to declined applicants. If rental has current tenant living there, communicate all showings with at least 24 hr. notice per lease agreement. Showings - Schedule showings including on Saturdays when clients schedule conflict during the week to not lose out on leads. Move ins - Schedule move-ins with all approved applicants. Follow these procedures. Take pictures and document condition. Pre-fill in Property Acceptance Form for tenants to review and sign agreeing to condition of the rental at move in. Take down lockbox. Log copy of key for the office in case of emergencies. Handle any move in funds immediately and bring to office to deposit. Help new tenants get set up on tenant app, teach them how to get the most out of their apps. Cover what to do if an emergency happens at the rental. Confirm utilities are put in their name. Maintain tenants/rental during term of lease. Work orders - receive via management software, email, text, or phone call and convey to in-house maintenance technician. Emergencies - Handle incoming emergencies, request backup from team if needed, keep team in the loop always and communicate with owners when an emergency arises. Tenant inquiries - answer tenant questions. Move out. Take Pictures and document condition. Property Acceptance Form -notate condition of the rental at time of move out. Put up lockbox - collect keys/garage door remotes from tenants moving out. Inspect Rental- inspect all the lights, fans, garbage disposal, garage remotes/garage doors, microwave, oven and top burners, dishwasher, washer/dryer, cabinets, windows, carpet, wood flooring, piping under the sinks for water leaks, toilets, bathtubs, showers, fireplaces, and everything else that may be inside the rental. Plan turnover - Using pictures, and the Property Acceptance Form and info from inspecting the rental, plan whatever is needed for the turnover. Turnover. Change the locks/keys for security. Create turnover workorder for handyman and other vendors if needed and communicate with owner if over $250 per agreement or communicate regardless of price if owner requests to be more involved for their peace of mind. Follow up on work done to verify it is move in ready. Prep for move-in. Vendors - create work orders Answer questions via email, call or text. File invoices. Charge owners/tenants. Owners. Communicate weekly updates on vacant rentals. Manage any questions that may arise. Work orders. Move in/move outs. Tenant requests. Inspections. Emergencies. Advertisement. Create initial advertisement for rental listings and maintain as needed.
